CloudAlly License Count Discrepancies

If you notice that CloudAlly displays an incorrect license count, it is likely due to the way user offboarding was handled in Microsoft 365. CloudAlly may show a higher number of licensed backups, this article will outline methods to resolve the issue.


Understanding CloudAlly Billing for Licensed Mailboxes

CloudAlly bills for all licensed mailbox backups. To ensure accurate billing, follow Microsoft’s recommended offboarding process: https://learn.microsoft.com/en-us/microsoft-365/admin/add-users/remove-former-employee?view=o365-worldwide

  • Remove the Microsoft 365 license from the user.

  • Convert the mailbox to a shared mailbox instead of deleting it.


If the correct process is followed, the mailbox remains on CloudAlly as an unlicensed, non-billable backup.
